Privacy policy

Information we collect

We collect information you give us directly, such as when you fill out a form, apply for a rental, request a tour, apply for management or contact our team. This can include your name, email, phone number, mailing address, property details and anything you include in a message.

Rental applications, rent payments and maintenance requests are handled through our property management software provider. Any income, identification, banking or payment information you enter there is collected and stored by that provider under its own privacy policy.

Calls and text messages

When you share your phone number on one of our forms, you agree that Key Property Solutions can call and text you about your inquiry, a showing, an application, a lease, a maintenance request, or a home on our waitlist. Sharing your number is optional, and agreeing to texts is never required to rent from us or to hire us. Message frequency varies, and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not sell or share your mobile number or your text messaging consent with third parties for their marketing purposes.

Accounting systems and connected apps

Key Property Solutions uses its own internal software to connect to our QuickBooks Online account, provided by Intuit Inc., for our company bookkeeping. Through that connection we access our own accounting records, such as transactions, invoices, bills, deposits, and the names and payment details of the clients, vendors and residents those records involve.

We use this information only to keep our books, reconcile accounts, prepare client statements and send client payouts. We do not sell it, use it for advertising, or share it with anyone except as described in this policy or as required by law.

This software runs on company controlled devices, and the credentials that authorize the connection are stored securely and are available only to authorized KPS staff. We keep accounting data as long as needed for bookkeeping, tax and real estate record keeping requirements. We can disconnect the software from QuickBooks at any time, which ends its access. Intuit's handling of data in QuickBooks is governed by Intuit's own privacy statement.

Cookies and analytics

Our website uses cookies and similar tools to understand how visitors use the site, such as which pages are viewed most. You can turn off cookies in your browser settings; some parts of the site may not work as well if you do.

When we share information

We do not sell your personal information. We share it only as needed to provide our services, for example with tenant screening providers, our property management and payment software, vendors completing maintenance at a home, or the owner of a property you apply to rent. We may also share information when required by law or to protect our rights, residents or properties.

How we protect your information

We use reasonable administrative, technical and physical safeguards to protect your information. No website or transmission is completely secure, so we can't guarantee absolute security.

How long we keep it

We keep information only as long as we need it for the purposes above or as required by law, including real estate record keeping requirements.

Your choices

You can ask us to update or correct your information, or to stop sending you marketing emails, at any time. Every marketing email includes an unsubscribe link.

Children

Our website is not directed to children under 13, and we do not knowingly collect their information.

Other websites

Our site links to other websites, such as rental listing sites and our resident and client portals. Their privacy practices are their own.

Fair housing

Key Property Solutions is committed to compliance with all federal, state and local fair housing laws. Key Property Solutions will not discriminate against any person because of race, color, religion, national origin, sex, familial status, disability, or any other specific classes protected by applicable laws. Key Property Solutions will allow any reasonable accommodation or reasonable modification based upon a disability related need. The person requesting any reasonable modification may be responsible for the related expenses.

This website is provided by Key Property Solutions for general information about our rental homes and property management services. Listings, prices and availability can change without notice and are not an offer to rent. Information is deemed reliable but not guaranteed.

Applications and portals

Rental applications, rent payments, and the resident and client portals are provided through third party software. Your use of those services is governed by their own terms and privacy policies.

Internal software

Key Property Solutions uses internal software that connects to its own accounting systems, including QuickBooks Online. That software is used only by authorized KPS staff for KPS's own bookkeeping. It is not offered, sold or licensed to anyone outside Key Property Solutions, and no one outside KPS is granted access to it.
